Key Responsibilities of the Role:

 

  • Manage and coordinate inductions and new starts coming to site
  • Manage and maintain site registers
  • Database Maintenance
  • Time Admin including managing of site clocks and filing records
  • Managing and tracking the time management system, reporting regularly
  • Deal and assist with queries in relation to labour on site
  • Liaise with site re crew changes, missing swipes etc
  • Liaise with site forepersons to update crew listings
  • Assisting with payroll queries
  • Org Chart maintenance
  • Submitting weekly hour reports to agencies
  • Processing holiday request forms
  • Filing site paperwork
  • General Administration Office Duties - Filing, typing, photocopying, organizing couriers, ordering office materials etc.
  • Assisting with preparation and issuing of reports or presentations
  • Data entry
  • Database maintenance
  • Assistance with day to day activities, including administration duties, helping develop SOP’s, training, Document creation etc.
  • All other duties associated with this role
  • Ensuring the timely distribution of documents & drawings to project personnel
  • Working in accordance with company procedures & guidelines
  • Distribution of drawing transmittals and submittals to client
  • Receiving and full quality check of all drawings and documents transmitted by the lead consultants.
  • Return of quarantined documents to the issuer for full correction and re-issue.
  • Management of document control software system ensuring that all parties receive adequate training and then use the system.
  • Maintenance of controlled document registers and associated documentation.
  • BIM360 Administration: adding members licenses, adding new companies
  • All other duties associated with this role

 

 

Essential Criteria for the Role:

 

  • Administration experience
  • Ability to work as part of a team
  • Attention to detail
  • Min 1 year Administration experience
  • PC literate with strong competency in Microsoft Word, Excel, Outlook
  • Excellent Communication skills
  • Good attention to detail
  • Ability to multitask and work under pressure
  • Strong interpersonal and organizational skills
  • Pride in the quality and presentation of work

 

Desirable Skills:

 

  • Experience in the construction or engineering industry advantage but not essential
  • SAP experience advantage but not essential as full training will be given
